Refund & Cancellation Policy

01Policy Overview & Commitment

CodeBitel® strives to deliver exceptional web engineering, custom application development, and e-commerce solutions tailored to your unique specifications. Because custom digital services involve significant upfront engineering, specialized developer hours, software licensing, and cloud server provisioning, our commercial engagements are governed by the following refund and cancellation terms.

02Non-Refundable Custom Digital Services

As outlined in Section 2 of our Terms of Service, refunds are not provided under any situation once a project has been commissioned, the advance invoice has been issued, or developer labor and server resources have been allocated.

This non-refundable policy applies to:

• Custom Website Design & Web Development
• UI/UX Prototyping and Wireframing
• E-Commerce & Payment Gateway Integrations
• Custom Backend, API, CRM, or SaaS Development
• Server Provisioning, Cloud Setup & Migration Tasks

03Milestone-Based Development & Approvals

To ensure complete client satisfaction and control, projects are structured into clear, sequential milestones (e.g., UI Approval → Frontend Assembly → Backend Integration → Final Quality Testing → Live Deployment):

• At each milestone, the client reviews staging deliverables and provides approval before the next phase commences.
• Approval of a milestone signifies client acceptance of all deliverables completed within that stage.
• Payments made for approved milestones are non-refundable and non-reversible.

04Non-Payment & Service Suspension Schedule

To protect server integrity and maintain reliable operations, non-payment of invoices triggers the following enforced timeline:

• After 7 days of non-payment: Technical support, staging updates, and developer consultations are paused.
• After 14 days of non-payment: All active digital services (including live web hosting, SaaS portals, databases, and company emails) are suspended.
• After 30 days of non-payment: All stored files, staging instances, databases, and backups are permanently and irreversibly purged from our servers.

05Third-Party Fees & Domain Purchases

Certain infrastructure costs are incurred immediately upon project commissioning and are completely non-refundable from third-party registrars and providers:

• Domain Names: Domain registrations cannot be refunded once registered. However, clients retain full ownership and may request an EPP/Auth code to transfer the domain.
• Cloud Hosting & Server Licenses: VPS, cloud compute, SSL certificates, and third-party software subscriptions purchased on behalf of the client are non-refundable.

Managed Domains & Hosting on the Client’s Behalf. Where a client requests it, CodeBitel® may register or renew a domain name and/or procure hosting on the client’s behalf using CodeBitel®’s own company account, purely to simplify management, billing and renewals. In such cases CodeBitel® acts solely as a technology service provider. CodeBitel® does not control, monitor or endorse the content, products, services or activities published on a managed domain or website, and has no practical means of knowing what a client or any third party hosts or operates on it — for example, if an e-commerce store is run on the domain, CodeBitel® cannot know whether or how the operator fulfils orders, ships products or handles customer payments. CodeBitel® accepts no responsibility or liability for any such activity. On receiving credible evidence of unlawful, harmful, infringing or abusive use of a managed domain or website, CodeBitel® may suspend, disable or take down the domain or site promptly and may also suspend related services.

06Project Cancellation by Client

If a client decides to cancel an active project before completion:

• Written notice must be submitted via official email to [email protected].
• Any advance deposit or milestone payments made up to the cancellation date are non-refundable.
• The client remains responsible for payment of all work hours and incurred third-party costs completed up to the cancellation date.
• Upon full settlement of outstanding dues, the client receives all completed frontend assets (HTML/CSS/JS) as assembled to date.

07Project Abandonment, Dormancy & Revival

Where a client discontinues communication, fails to provide required inputs, approvals or payments, or otherwise allows a project to remain dormant for an extended period, the project may be treated as abandoned and placed on hold or closed. Payments made previously do not oblige CodeBitel® to resume, complete or deliver a dormant or closed project when the client returns, and any request to revive the project is subject to CodeBitel®’s sole discretion — including re-scoping, revised timelines, updated pricing and a fresh onboarding or revival fee where applicable. Any prior advance or milestone payment is adjusted against work already performed and costs already incurred and is non-refundable. Nothing in this section limits CodeBitel®’s other rights.

08GST Invoicing & Tax Compliance

All transactions are accompanied by official GST tax invoices issued under CodeBitel®, displaying our verified registration numbers:

09Dispute Resolution & Jurisdiction

Any dispute, claim, or controversy arising from payments, billing, or cancellations shall be subject to the exclusive jurisdiction of the competent courts in Dehradun, Uttarakhand, India, governed by applicable Indian laws.
